1. Introduction
Welcome to VSV INFOTECH PRIVATE LIMITED (“VSV Infotech”, “we”, “our” or “us”). We provide IT and digital solutions, including website development, web application development, custom software development, mobile application development, digital marketing, and related technology services.
This Return, Refund and Cancellation Policy explains the conditions under which customers may request cancellation, refunds, or adjustments for services purchased from our website,
https://vsvinfotechs.com/,
or through our authorised sales and payment channels.
By purchasing our services, you acknowledge that you have reviewed this policy. This policy is subject to applicable laws and does not limit any consumer rights that cannot legally be excluded.
2. Scope of This Policy
This policy applies to services purchased from VSV Infotech, including:
- Website design and development.
- Web application and custom software development.
- Mobile application development.
- Digital marketing and related online services.
- Software configuration, integration, and implementation.
- Domain registration, hosting, SSL certificates, and other third-party services purchased for a project.
- Other IT-related services agreed upon in a quotation, invoice, proposal, or service agreement.
Because our services are primarily digital and customised, physical product returns generally do not apply unless a physical product has been specifically supplied under a separate agreement.
3. Cancellation Policy
Customers may request cancellation of an order or project by contacting us through our official email address.
Cancellation requests should include the customer's name, invoice or order number, service purchased, reason for cancellation, and payment details sufficient to identify the transaction.
3.1 Cancellation Before Work Begins
If a customer requests cancellation before any project work has commenced and no non-recoverable third-party costs have been incurred, the customer may be eligible for a full refund, subject to the agreed terms and applicable law.
Any authorised domain, hosting, software, subscription, licensing, transaction, or other third-party expenses already incurred for the customer may be deducted where legally permissible and appropriately documented.
3.2 Cancellation After Work Has Started
If work has already commenced, the refundable amount will be determined after reviewing the work completed, project milestones, resources used, and costs incurred specifically for the customer's project.
The calculation may include:
- Design, development, programming, or configuration work completed.
- Research, planning, analysis, testing, and project setup.
- Approved third-party software, plugins, themes, APIs, tools, and licences.
- Domain registration, hosting, server, SSL, subscription, or infrastructure costs.
- Other reasonable, documented, project-specific expenses that cannot be recovered or cancelled.
The customer will be provided with a reasonable explanation of the deductions. Only charges permitted by applicable law and the agreed terms will be deducted.
3.3 Cancellation After Delivery
Once the agreed service or milestone has been completed and delivered, a refund will generally not be available solely because the customer has changed their mind, subject to applicable law and any express refund commitment made in writing.
This does not affect a customer's rights where a service is defective, materially different from the agreed scope, not delivered as promised, or otherwise qualifies for a remedy under applicable law.
4. Refund Eligibility
A refund request may be considered in circumstances including:
- Duplicate payment: The same invoice or order was paid more than once.
- Payment error: An amount was charged incorrectly and the error is verified.
- Cancellation before commencement: The customer cancels before work begins and the applicable conditions for a refund are satisfied.
- Non-delivery: VSV Infotech fails to deliver the agreed service and an appropriate refund is determined to be the remedy.
- Material service issue: The delivered service materially fails to meet the written scope and the issue cannot reasonably be resolved through correction or re-performance.
- Mutually agreed cancellation: Both parties agree in writing to cancel the project and settle the amount refundable.
- Other legally required circumstances: A refund or other remedy is required by applicable law.
Each request will be assessed individually using the relevant quotation, invoice, project scope, communication records, work completed, and third-party expenses.
5. Non-Refundable and Deductible Costs
VSV Infotech may deduct eligible costs already incurred for a project before calculating a refund. These deductions will be based on actual costs, work performed, and the applicable agreement rather than an automatic or arbitrary penalty.
5.1 Third-Party Tools and Software
If VSV Infotech purchases or activates third-party tools or services for a customer's project, the cost may be deducted if it has already been incurred and cannot reasonably be recovered.
Examples include:
- Premium WordPress themes and plugins.
- Paid software, development tools, or commercial licences.
- API subscriptions and usage charges.
- Third-party integrations and automation services.
- AI tools or other paid digital resources used for the project.
- Software licences purchased specifically for the customer.
Where a subscription is refundable or cancellable, we will consider the amount actually recoverable before determining the deduction.
5.2 Domain, Hosting and Infrastructure
Charges for domain registration, hosting, cloud servers, SSL certificates, email services, storage, or similar infrastructure may be deducted where they have already been paid to a third party and are non-refundable or non-recoverable.
Renewal charges or future subscription periods that have not been incurred will not automatically be treated as expenses already spent.
5.3 Work Completed Before Cancellation
Where a project is cancelled after work has started, the value of completed work may be deducted from the amount paid. This can include approved design work, development hours, completed milestones, testing, configuration, and project-specific implementation.
5.4 Payment Processing Charges
Payment gateway, bank, or transaction charges may be considered only where they have actually been incurred, are not recoverable, and may lawfully be deducted under the applicable agreement and law.
5.5 Third-Party Purchases Made With Customer Approval
Where a customer has approved the purchase of a specific third-party tool, licence, subscription, or service, the associated cost will be considered in the refund calculation. We will not charge customers for unrelated purchases or expenses that were not reasonably attributable to their project.
6. Refund Request Procedure
To request a refund, please email
info@vsvinfotechs.com
with the subject line “Refund Request – [Invoice/Order Number]”.
Please include:
- Full name or registered business name.
- Contact email address and phone number.
- Invoice or order number.
- Date and amount of payment.
- Service or project name.
- Reason for the refund request.
- Relevant invoice, payment receipt, or supporting documents.
- Any other information reasonably required to verify the transaction.
Please do not email full card numbers, CVV codes, passwords, or other sensitive payment credentials.
We may request additional information where necessary to verify the payment or investigate the issue.
7. Refund Review and Processing Timeline
VSV Infotech aims to process approved refunds within 24 hours to 7 working days, depending on the nature of the request and the complexity of the transaction.
Our general procedure is:
- Within 24–48 hours: We aim to acknowledge the request and begin reviewing the details.
- Within 2–5 working days: We aim to assess eligibility, verify payments, and calculate any applicable deductions for work completed or third-party expenses.
- Within 24 hours to 7 working days after approval: We aim to initiate the approved refund, depending on the circumstances and payment method.
Straightforward refunds, such as verified duplicate payments, may be processed more quickly. Complex project cancellations may require additional time to verify work completed and expenses incurred.
The time taken for the refunded amount to appear in the customer's account depends on the bank, card issuer, payment gateway, and payment method. Third-party settlement delays may extend the overall time before the customer receives the funds.
Where a different statutory deadline applies, that deadline will prevail. The above timeline is a processing target, not a restriction on any legal refund entitlement.
8. Refund Method
Approved refunds will generally be issued through the original payment method wherever possible, subject to payment gateway and banking requirements.
If the original payment method is unavailable, we may request verified alternative payment details where permitted by the payment provider and applicable law.
Refunds will not be issued to an unrelated third party or through an alternative method that would compromise transaction security or legal compliance.
9. Revision, Correction and Rework
If a delivered service does not meet the mutually agreed written specifications, customers should contact us with details of the issue.
Where appropriate, VSV Infotech may first offer reasonable corrections, bug fixes, revisions, or re-performance in accordance with the project scope, warranty terms, and service agreement.
Requests for new features, additional functionality, changes to approved designs, or work outside the original scope may be treated as additional paid work.
If the original service cannot reasonably be brought into conformity with the agreed requirements, we will consider an appropriate remedy, which may include a partial or full refund where warranted by the circumstances and applicable law.
10. Situations Generally Not Eligible for Refund
Subject to applicable law and any written commitments, refunds will generally not be available solely because:
- The customer changes their mind after work has been performed.
- The customer no longer requires the service after approving the project.
- The customer fails to provide required content, credentials, approvals, or other project materials.
- Project delays result from customer-side inaction or delayed approvals, where properly documented.
- The customer requests features or services that were not included in the approved scope.
- The customer fails to use the delivered service or does not achieve a particular business result, where that result was not expressly guaranteed.
- A third-party platform, software provider, or external service changes its features, pricing, policies, or availability outside VSV Infotech's reasonable control.
These circumstances will be evaluated fairly and do not exclude remedies that may be available under applicable law, including remedies for our own breach of contract or failure to provide the agreed service.
11. Chargebacks and Payment Disputes
If you believe a payment was made in error or a refund is due, please contact us first so that we can investigate and attempt to resolve the issue promptly.
Customers retain any rights available through their bank, card issuer, payment provider, or applicable dispute-resolution process. This section does not prevent a customer from exercising those rights.
VSV Infotech may provide relevant invoices, project records, delivery evidence, and correspondence to the payment provider when responding to a genuine payment dispute, subject to applicable privacy and legal requirements.
